Arrowhead Springs Policies

General Policies of Arrowhead Springs Nature Preserve & Retreat 

Arrowhead Spring Retreat LLC, dba Arrowhead Springs Nature Preserve & Retreat, has established the following  policies to ensure our guests a safe, enjoyable stay at the property. Upon booking your reservation, you will be  prompted to check the “Agree to Policies” prompt prior to getting your confirmation, and doing so confirms that you  and your guests have read and agree to the following: 


Check-In Policy 

An approximate deposit of 50% is required to secure your reservation, which is not confirmed until payment has  cleared our system. Our standard room rates cover up to two persons. Our family suite can also accommodate up to  two small children at no additional cost. Our permit does not allow us to exceed the stated room and house  occupancy rules. Balances are due PRIOR to check-in. The balance of your stay will be charged on the card you book  with on the date of check-in. 


Minimum Stay 

A two-night stay is required for booking on weekends. Weekends include Friday, Saturday, and Sunday. A three night minimum stay is required for some holiday weekends. 


Check-in and Check-out Times 

Check-in time is 3pm-9pm. You can drop off luggage earlier than 3pm or arrive later than 9pm – please just call  ahead to let us know. Check-out time is 11am. 


Credit Card Charges 

You agree to authorize Arrowhead Springs Retreat LLC to charge your credit card for your full stay charges. In  addition, you agree to have Arrowhead Springs Retreat LLC charge your credit card for damages, excessive cleaning  fees or any assets that get removed from your accommodation stemming from your stay, if applicable. Your credit  card information is stored and processed securely. 


Cancellations 

Deposits are non-refundable. However, if notice is given 30 days prior to the original reservation dates and the  rental property is re-booked for the same dates, the full deposit may be applied to a future stay. This transfer of  deposit can only be transferred one time and if you have rescheduled from a prior cancellation more than once, a  new deposit will be required. 


Refund Policy 

Arrowhead Springs Retreat LLC cannot guarantee against mechanical failure of heating, air conditioning, Jacuzzis,  TVs, internet service, or other appliances. Please report any inoperative equipment to our office immediately. We  will make every reasonable effort to have repairs done quickly and efficiently. No refunds or rental reductions will  be made due to failure of appliances or equipment. No refunds for early departures (less than reserved) ~ No  refunds will be given for delayed arrival. ~ No refunds for reducing the number of nights reserved. 


Acts of God 

Arrowhead Springs Retreat LLC shall not be liable for events beyond their control which may interfere with Guest(s)  occupancy, including but not limited to Act of God, Acts of governmental agencies, fire, strikes, war, or inclement  weather. NO REBATE OR REFUND will be offered in these circumstances. 


Cleaning 

Cleaning fees are as follows: Individual rooms in the Farmhouse - $75, The Cabin - $100, The whole Guest House or  the whole Farmhouse - $225. Special event cleaning fees will be determined as appropriate on a case-by-case basis. 

Smoking 


All our rooms and accommodations are non-smoking, including all areas around the house. Also, no candles or  incense are permitted. We can direct you to outdoor locations where you may smoke. If you smoke in your room,  there will be a $250 cleaning charge. 


Communications 

We offer complimentary Wi-Fi throughout our accommodations.


Additional Fees


Day Guest visitors – Strictly enforced 

There is a $25 per person per day guest fee charge +tax for all day visitors. All day guests must be registered by  Arrowhead Springs Retreat LLC prior to their arrival with limits up to 2-day guests per accommodation. Registered  guests are responsible for reporting the number of day visitors to the office for approval. Per our insurance policy  guidelines, we are required to always know the number of total guests and day guests on the grounds. In the event  guests do not participate in this policy, and our staff learns of additional visitors, an assessment fee of $50 +tax will  apply or the registered guest may be asked to vacate the premise without refund. Visitors of registered guests are  permitted to visit you at your accommodation and at the Retreat Center but are not permitted access to the Preserve or other facilities such as the Pool & Spa. 


Overnight Guests – Strictly enforce

Each accommodation has a specified rate up to a limit of guests. When registered guests make the initial reservation,  a clear policy states what the rate covers in terms of the number of guests. In most cases the rate includes up to 2  persons. Because we are bound by the limits of our permits, those guests who elect not to participate in this policy  will be asked to vacate the premises with no refund. 


Pets 

We are a pet-friendly facility except for the rooms in the Farmhouse. Pets in Farmhouse rooms are NOT allowed unless the guest has rented all 5 rooms in the Farmhouse. This policy is strictly enforced. For more than 1 pet per  accommodation please call. A non-refundable ($50) per pet fee +tax will be required. Pets are required to always be  on leashes during walks on the grounds. You will also be required to bring a kennel in the event you should need to  leave your pet unattended in the accommodation. Please refer to our pet policy for further details. 


Since this is a nature preserve and there is wildlife that may freely visit the property, such as deer, bobcat, raccoon,  mountain lion, hawk, rattlesnakes; we urge you to consider the risk of such interactions when bringing your pet to  the property. You agree to hold Arrowhead Springs Retreat LLC harmless from any harm that may come to either  you or your pets from interactions with wildlife while at the property. 


Quiet Time 

Quiet time is strictly enforced. We encourage all guests to have a great time. However, excessive loud music,  continual loud celebrations, and indecent language are not acceptable. We ask that beyond 10pm, the volume of all  group or individual celebrations be curtailed to respect other guests and neighbors that are wanting to enjoy a little  more peace and quiet. Please respect other guests when multiple groups are in the same common area. Guests that  elect not to cooperate in this policy will be asked to leave the premises without refund. 


Firearms 

Under no circumstances are firearms allowed on the premises. No exception! Guests electing NOT to follow this  policy will be asked to vacate the premises without refund. 


Litter 

Please be conscientious of your litter, take with you what you bring, or dispose of it in trash receptacles located near  the accommodations. Leave no trace. Help us protect and preserve our natural environment and retreat. Thank you. 


Pest Control 

Many different pests live and thrive in this mountainous nature environment among the many springs and creek.  The property is professionally treated by a commercial pest control company to keep all the pests and bugs outside.  Should you experience a pest control issue, please contact Guest Services so we may attempt to eradicate the  problem. IT IS VERY IMPORTANT TO KEEP ALL EXTERIOR DOORS CLOSED AT ALL TIMES. IF YOU SEE AN  EXTERIOR DOOR LEFT OPEN, PLEASE CLOSE IT IMMEDIATELY. There are many curious creatures of all sizes that  will feel welcome at an open door. If one enters, it will not be able to distinguish who left the door open and may  decide to stay and bother You! 


Meetings & Event Space Rentals 

From time-to-time private meetings or special events may be held on-site that may make some part of the grounds  or a facility temporarily unavailable. We ask your understanding of these minor occurrences just as we will ask the  meeting or event guests to be respectful of your stay. All our guests are equally important contributors to the sustenance and maintenance of this Nature Preserve and Retreat. Your support and understanding are greatly  appreciated. 


Lost and Found 

Arrowhead Springs Retreat LLC will not be responsible for Guest property left behind or lost during stay. If we can find an item left behind, we are willing to ship it to the guest upon request with receipt of a valid credit card to cover  shipping costs plus a $20 handling fee. Unclaimed items will be held for a maximum of 14 days, at which time  Arrowhead Springs Retreat LLC reserves the right to dispose of the item(s) or may elect to donate the items(s) to a  local charity. 


Guest Departures 

You agree to our Check-Out Time Policy (11am) on your departure date as noted in your confirmation and that you  further understand that an extended stay fee will be assessed +tax if guests are in violation. Arrangements can be  made prior to the 11am check-out time regarding extended check-out requests but must be authorized by an  authorized Arrowhead Springs Retreat LLC representative. In all cases, Guests will not be allowed to go beyond 1  hour from the 11am check out time. This strict policy allows us to properly clean accommodations prior to the next  guest arrivals. Please respect this request. 


Policies Relating to the property environment 

Arrowhead Springs Retreat is in mountainous country in the San Bernardino National Forest, at an altitude of 3,500  feet. Guests should be aware that some of the environmental conditions are different from an urban setting. We take  every precaution to ensure your comfort and safety and ask you to be observant and sensitive to the environment. 


Guests and visitors to Arrowhead Springs Retreat should be aware of the following list of precautions and guidelines  and consult with Staff with any questions and concerns. 


  • We are at an altitude of 3500 feet so be aware that you may feel a little out of breath at times. Take it easy  walking around the property and be sure to drink plenty of water to prevent dehydration. 
  • If you go out hiking be sure to tell someone where you are going and when you expect to return. We  strongly advise you not to hike alone. Carry enough food, water, and warm clothing for your hike, and  carry a walking stick which can assist in mountain terrain and may signal your human presence to wildlife  that wishes to avoid you. Please consult staff to get information on where to hike. 
  • Use as much water, heat, and electricity as you need, but try to think about conserving wherever possible,  walking conscientiously in this world of precious and limited resources. 
  • During the colder months it may freeze overnight and walkways and stairs can become icy, so take extra  care to watch your step! 
  • There are bears, deer, raccoons, bobcats, mountain lions, coyotes, hawks, snakes and many other animals  sharing the forest with us, but they generally keep hidden and are seldom seen. That said, it is strongly  advised that you do not hike alone, keep children close to you, and do not approach these animals. 
  • The most common snake present at Arrowhead Springs Retreat in the warmer months is the rattlesnake.  These snakes, though very timid, are poisonous, and should be treated with respect. In the event you see  one, slowly back away, and notify a Staff member. Be careful when moving logs or rocks which could hide a  snake and keep an eye out when walking or hiking on trails and around the property. 
  • Please avoid feeding any wildlife such as deer, raccoons, squirrels and birds. If these animals become over reliant on human handouts it reduces their ability to survive on their own and can cause them to become ill  from eating other than nature intended. 
  • Please do not pick any wildflowers around the center grounds. There are quite a few tiny red ornamental  strawberries serving as ground cover around the property, that are tempting to pick and eat, but these are  not an edible variety and should not be eaten. Also, there are some poison oak and ivy plants that are  part of the natural vegetation of this area. If you are extremely allergic to the oils of these plants, take  precaution by wearing long pants, long sleeves, socks, and closed shoes when hiking, which you can remove and/or launder when you get back from your hike. Keep your eyes open to avoid handling these plants by  accident. 
  • The water coming to all kitchens and bathrooms is pure spring fed water from our local water company. It  contains no chlorine or other chemical additives and is tested on a regular basis to check against  contamination. Enjoy it as much as you like during your stay. However, do not drink water directly from  the streams or hillside springs. This water is open to animals, humans and other contaminants, and may  not be safe for human consumption. Be safe and enjoy the pure spring water from our in-house faucets. 


Bearing in mind that our rural environment carries risks and responsibilities we require all guests to agree to the  above policies prior to receiving your confirmation. As such, you accept full responsibility for yourself and your guests and pets if any injury or accident occurs while on Arrowhead Springs Retreat LLC property – not caused by  Arrowhead Springs Retreat LLC’s own gross negligence. You agree to hold Arrowhead Springs Retreat LLC harmless for other liabilities including but not limited to any “Acts of God” causing tree debris, hail falling or other such  occurrences that may affect people, pets, or vehicles. You agree that you shall defend, indemnify and hold property  owners, Arrowhead Springs Retreat LLC, its officers, employees, agents, and volunteers, harmless from and against  all liability, loss, expense, or claims for injury or damages arising out of the performance of this Agreement.
